First Record Format Unique From All Subsequent Records

    kx250ryder _

To start, I am glad to see there is community support for this program.  I am new to this program (about 1 week now) and I am using an ancient version of Monarch (5.02) so I know I should probably upgrade, but this all I can afford right now.  I must say the tutorial that came with the software was quite helpful, but couldn't help me with one particular problem:

In the below code, it is page 1 and 2 of a 300+ page report tracking vehicle inventory across multiple locations.  My Monarch model breaks each inventory line into a record, and using calculated fields and a filter reports what size and dates a location is oversold.

My question: Due to poor formatting by the maker of the inventory software, the first location number appears in a unique place on the first page of the report only.  All subsequent pages for this location, and all pages for all subsequent locations appear in the same place.

As you can see below, just to the left of the date is the location number 000120 on page 1, but all following pages have it listed in the page header as Location:  000120 (where 000120 would be whatever location).  At first glance, you might suggest I could try and trap for strings with "000" preceeding them, however some locations have a three digit Letter code (ex: PHX) instead of the six digit number.

My current trap looks for the line that has "Location:" in it, however on page 1 this traps the Group I am running the report for (in this case +OPEN, which is all available locations) instead of the location number.

Any suggestions on how to trap a unique field for the first record of the report only?  I guess maybe some sort of OR statement that checks if a value is present in the area where the location number is, and if nothing is found, it searches for the Location: string?

          Hi,

           /SIZE

Grab an Append on the top location field and call it xLoc1 for example.  For records on page 1, you’ll incorrectly have “+ Open” as you say.  The other pages should be OK.

           /SIZE

Grab another append to take the lower location, xLoc2 maybe.  You must ensure that the blank locations are trapped as well as the valid locations, so trap on nn-nn-nn on the first date (that’s numeric trap n, not letter ‘n’ of course!).  The first 4 records should have “000120”and subsequent records will be blank.  Make sure it’s a character field or you will lose the leading 0s.

           /SIZE

Finally create a calculated field in the table called Location using the formula

          If(xLoc2=””,xLoc1,xLoc2)

           /SIZE

          I think that should work.

           /SIZE

          Regards,

Almost!!  In the above example, that works for the week of 5/4, but fails for the weeks of 5/18 and 6/1 since there is no location next to the date but the records are still on the first page.

Ah – I didn’t spot the ‘wrap around’ nature of the report. In that case, try creating a page header template on the Location line. This will allow Monarch to accurately assign its page number to the extracted data.

You should be able to use /SIZE

If(Page()=2,xLoc1,xLoc2)

I think it will be page 2 as page 1 will be above the first page break. I hope Page() is in V5, but I’m unable to test that.

Great part of the world by the way - did you get to the Users Conference in Phoenix last year?

                  Regards,

I must confess as a quick and dirty solution I would tempted just to edit in a useful line for page 1 ....

.... but failing that. Based on Steve's 'trap both and then decide which to pick' concept.

Template for the Page one 'Location' as per Steve's original suggestion and set the field to 'copy value from previous record'if empty.

For the regular recurring Location just trap using "location:" and then specify the x characters of the location position must be non blank and then mark some blanks must exist either side of it. Now I am assuming here that if you have a code system the chances are that there will alwasy be a minimum number of characters that will exist AND that the code will always be either left or right justified. If that is not the case things could get more interesting. However the important think is that we are only trying to EXCLUDE the selection criteria information form the first page so this is not a big deal and minimla information using 'must have some chars' or 'must NOT have any chars' will hopefully do the job.

If not just fall back on the 'Page 1' conditional calculation.

Thereafter the calculated field to decide which 'location' to use should do the job for you.

I assume that the location never changes on the first page or that a change of location means a new page anyway.

                      An alternative approach.

Copy previous was the missing step.  I was trying to use that originally when just trapping the "Location: " line, but the problem was that there was no previous, since it wasn't until page 2 that the correct location was displayed.

Now that I have an alternate trap for just the first location on the first set of dates, the copy previous option is beneficial and got it working.

Thanks to both Grant and Steve for promptly responding!

Found another glitch in my model, wasn't sure whether to start a new thread since its a different type of issue, or to stay on this thread since the report type is similar.

In the code below, you can see on page three that vehicle type BBBB has its inventory split across two pages, with a title block inserted in between.  This trips up my current trap.

In its current format, my detail trap takes the two lines for a given class, and checks against the second line by looking for two non-blank characters at the beginning of  a line, a blank character in the column after the "F" in RF, and two more blank characters after the inventory number in the first two days.

I tried modifying the trap by scrolling to the problem area, and highlighting everything from the "R" line to the "RF" line after the title block on the following page, but this just had Monarch only look for this specific case, ignoring all results not split by a page break/title block.

Is there a way to trap this special case, or to tell Monarch to always search for pairs of "R" and "RF" regardless of whether there is a page break in between?

Have you included these lines in the page header template definition?

Good thought.  On your recommendation, I specifically highlighted the lines above in a Page Header template to no avail.  I then tried selecting the page header lines from the second page instead, since the header on pages after the first page is of a different format and fewer lines.  This also did not produce the intended result.

With the detail trap I currently have, it traps the white space above the RF line for the record, as if the R line information was above it instead of on the previous page.

Hmm. I'd be tempted to try the Advanced field options in that case.

Try using R (space R space) as the preceeding string in current line option for the fields in one line, and RF (space RF space) for the others.

That said, I have really thought through your samples too much, and I haven't tried experimenting myself. :o Month-end time here...

Are you able to send a sample report?  I know I can copy and paste from the post, but I don't fuly trust the formatting to come across!

As Steve says the formatting does look a little suspicious as posted although given the initial problem this may not be unexpected ...

                                                  Thoughts:

                                                  1. Can you treat each 'detail' record as a single line rather than a pair?

                                                  2. It looks possible to re-compose the report stripping out all the printed page headers and then make export a new version of the report.

Using the new version make the column heading section (dates) a page header template and then the existing paired lines template would work either side of the new 'page' break. The only complication would be getting a location back into everywhere except the first page since the information for the original method would no longer be there consistently - maybe ...

Between your suggestions and a tip from our IT director, I got it!  What I ended up having to do was track each line separately instead of as a pair, but in order for the math to work, I still needed each separate line of a class to be combined in the same record.

So I deleted my original detail template and started over. I originally tried to assign both R and RF as separate append templates, but Monarch apparently requires a detail template in order to create a table.  I arbitrarily assigned the R line as an append template (which also captures the vehicle class), and the RF line as a detail template (does not capture class).  This despite the fact that neither line really has more "detail" than the other.  This appeared to solve the issue with the page separation without even needing a header template.

                                                      Thanks to all who participated!

Yep, there must be at least a detail template for Monarch to function. Append(s) and Footer (footerS in the most recent versions) are optional.

Good solution and a nice use of lateral thinking aided by at least one aspect of the report that IS consistent!    The R and RF identifiers. I had missed that data inspired possibility up to that point.

It's all a question of how you "see" the report on the day ... and the posted sample does not seem to have consistent horizontal positioning which suggested that successful trapping using columns across the report would not be likely.

Well done for working it out. In fact excellent work for someone new to Monarch.

The shift in the R/RF columns in my sample is likely my error from shielding the actual vehicle class names.  They appear in the same columns on all pages.

I did plenty of patting myself on the back (and you guys) to my co-workers who just saved probably 4 hours a week each in terms of productivity time.  We were scanning this weekly, now Monarch does it, and we can just report the results and possible resolutions.
